Are you an organised, adaptable administrator who enjoys working with people and making things happen behind the scenes?

We are looking for an Administrator to join our School of Health team in Porirua. This is a busy and varied role where you will provide high-quality administrative support to our kaimahi and ākonga, while taking ownership of the coordination and administration of allocated programmes and portfolios.

You will be part of a collaborative administration team that plays an important role in keeping the School running smoothly. No two days will be quite the same, so we are looking for someone who is organised, approachable and comfortable managing competing priorities.

About the role | Mō te tūranga

Reporting to the Operations Manager, you will work closely with Programme Managers, kaimahi, ākonga and colleagues across the organisation.

Your responsibilities will include:

  • Coordinating and managing the administration of allocated programmes and portfolios
  • Providing accurate and timely administrative support, including document preparation, minute taking, records administration and information management
  • Responding to enquiries and providing friendly, professional and solutions-focused customer service
  • Building effective relationships with Programme Managers, kaimahi, ākonga and other stakeholders
  • Maintaining accurate records and documentation and ensuring relevant processes and requirements are followed
  • Working flexibly across the School to support changing priorities and workload demands
  • Contributing to the continuous improvement of administrative processes and ways of working
  • Working collaboratively with colleagues and sharing knowledge and resources across the administration team.

About you | Mōu

You will be someone who takes pride in providing excellent administration and customer service. You will be comfortable taking initiative, managing your own workload and working collaboratively as part of a team.

To be successful in this role, you will bring:

  • Experience working in an administration or similar support role
  • Intermediate to advanced Microsoft Office skills and confidence using digital systems
  • Strong organisational and time-management skills
  • Excellent written and verbal communication skills
  • The ability to prioritise and manage multiple competing demands
  • A proactive, flexible and solutions-focused approach
  • Strong attention to detail and a commitment to accuracy
  • The ability to build positive working relationships with a diverse range of people
  • Sound judgement, integrity and an understanding of the importance of confidentiality
  • The ability and willingness to learn new systems and technology quickly.

Experience within tertiary education, health or another complex service environment would be advantageous, but just as important is your willingness to learn and your commitment to providing a great service.
